This policy describes how we handle website inquiries, customer account information, finance and compliance workflow records, AI interaction data, security logs, and billing metadata related to Keeping and Digifin.
1. Scope
This Privacy Policy explains how Trans N Keeping Technologies Pvt Ltd ("Keeping", "we", "our", or "us") collects, uses, stores, and shares information when businesses visit our website, request a demo, communicate with us, or use the Keeping and Digifin finance workflow platform.
Keeping is built for finance, ICFR, close, risk, and compliance teams. The Services may be used to map controls to risks, manage walkthroughs, assign ownership, review evidence, monitor dashboards, and use AI-assisted summaries or recommendations.
2. Information We Collect
- Lead and demo request information, including name, work email, company, job title, phone number, and details shared about the customer's finance stack or ICFR scope.
- Business account and user information, such as legal entity details, workspace configuration, single sign-on identifiers, role-based access settings, reviewer or approver mappings, and business contact details.
- Platform records and uploaded content, including general ledgers, control libraries, risk mappings, walkthroughs, reconciliations, trial balances, contracts, test evidence, checklists, tasks, dashboards, and related compliance materials uploaded, created, or maintained in the Services.
- Usage, device, and security information, such as IP address, browser or device metadata, authentication events, audit logs, access timestamps, and activity records used to secure the environment and investigate issues.
- Communications and support records, including emails, product feedback, meeting notes, implementation details, and training interactions.
- AI interaction data, including prompts, uploaded context, summaries, recommendations, anomaly flags, and draft outputs generated to support finance and compliance workflows.
- Billing and payment information provided through Razorpay, such as subscription identifiers, invoice status, payment status, billing dates, amounts, and limited payment instrument metadata made available by Razorpay. We do not receive full card details.
3. How We Use Information
- Provide, configure, secure, and support the Services.
- Provision customer workspaces, role-based access, and SSO-enabled logins.
- Process uploaded materials and user actions to generate workflows, dashboards, AI-assisted analysis, and audit-ready outputs.
- Respond to demo requests, onboarding questions, support tickets, and commercial discussions.
- Monitor usage, detect abuse, prevent fraud, maintain logs, and improve platform reliability and security.
- Manage billing, invoicing, recurring subscription status, and related payment administration through Razorpay.
- Comply with legal obligations, enforce our agreements, and protect our rights, users, and systems.
4. How We Share Information
We may share information with service providers and subprocessors that help us operate the website and platform, including cloud hosting, authentication, analytics or logging, customer communications, and payment processing providers such as Razorpay.
We may also disclose information where necessary to comply with law, respond to lawful requests, protect the security or integrity of the Services, or in connection with a merger, financing, restructuring, or sale of business assets.
5. Billing and Razorpay
Recurring subscription billing is handled through Razorpay. Razorpay manages payment mandates, recurring charge processing, invoices, and related payment workflows in accordance with its own terms, payment-method rules, and applicable regulation.
Keeping may receive limited billing metadata from Razorpay to reconcile subscriptions, confirm payment status, handle renewals, and address billing questions. Customers should review Razorpay's own privacy and payment terms for information about how Razorpay processes payment data.
6. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain security and audit trails, comply with legal and financial recordkeeping requirements, resolve disputes, and enforce our agreements.
Retention periods may vary depending on whether the data relates to a website inquiry, an active customer account, security logs, or billing and compliance records.
7. Security and International Processing
We use administrative, technical, and organisational measures designed to protect information, including access controls, audit logging, encryption practices, and role-based restrictions appropriate to a finance and compliance workflow platform.
Customer information may be processed in locations where we or our service providers operate. Where data is transferred across borders, we use reasonable contractual and operational safeguards. If regional data residency is part of a customer's commercial arrangement, we will implement it as agreed.
8. Rights and Requests
Subject to applicable law and contractual commitments, customers and authorised users may request access, correction, deletion, or export of certain personal information, or ask questions about our privacy practices.
Because Keeping is offered to businesses, some requests may need to be made through the relevant customer administrator or employer before we act on them.
